This Privacy Policy describes how we collect, use, disclose, and safeguard your information when you visit truebookus.com or engage our US bookkeeping, accounting, payroll, or tax services.

We collect information you provide directly, including: name, email, phone, business name, financial data necessary to perform the services you engage us for (bank statements, transaction data, payroll registers, tax documents), and communications you send us. We also collect standard technical data (IP, browser, pages visited) through cookies and analytics tools.
3. How We Use Your Information
We use your information solely to: deliver the bookkeeping, accounting, payroll, tax, and advisory services you engage us for; communicate with you about your engagement; comply with US legal and tax obligations (including IRS e-file requirements); improve our services; and meet our contractual obligations to you.

We protect your data with 256-bit encryption at rest, TLS 1.3 in transit, mandatory multi-factor authentication, role-based access controls, encrypted backups, and SOC 2 aligned security processes. See our Data Security page for full details.
5. How We Share Your Information
We do not sell your data. We share information only with: sub-processors who help us deliver services (under written agreements with the same security baseline); US tax authorities (IRS, state DORs) as required for filings; professional advisors (auditors, legal counsel) under confidentiality; and as required by law.
6. Your Rights
You may request access to, correction of, or deletion of your personal information at any time by emailing [email protected]. We respond to all verified requests within 30 days, in accordance with applicable US state privacy laws (CCPA/CPRA, VCDPA, CPA, CTDPA, etc.).
7. Data Retention
We retain client financial records for a minimum of 7 years post-engagement, in line with US IRS recordkeeping requirements and AICPA professional standards. Marketing data is retained until you opt out.
